3-way matching: invoice, purchase order and goods receipt

Billacle reconciles every invoice against the purchase order and the goods actually received, so you only pay for what you ordered and got.

What 3-way matching is

In 3-way matching, an invoice is only approved when it agrees with two other documents: the purchase order (PO) that authorised the spend, and the goods receipt note (GRN) that records what was actually delivered. See 2-way, 3-way and 4-way matching explained for the differences.

How Billacle does it

  1. The purchase order is pushed to your ERP and the goods receipt (GRN) is recorded line by line.
  2. When the invoice arrives, AI extracts it and Billacle reconciles it against the PO, the GRN and the budget.
  3. Exceptions are flagged for review; clean matches continue to approval.

Related protections

  • Duplicate detection catches re-sent and near-duplicate invoices.
  • AI risk scoring — a blended rule + AI score surfaces fraud and anomalies.
  • Budget controls match spend to budgets and contracts so overruns are caught before approval.
  • Full audit trail — every action is logged: who, what, when.

Why it matters

Manual matching is slow and error-prone, and unmatched invoices are how duplicate payments, inflated invoices and non-PO spend slip through. Automating the match moves your team from checking every invoice to handling the exceptions.

Frequently asked questions

What does Billacle match an invoice against?

The purchase order, the goods receipt (GRN) and the budget.

Does Billacle handle purchase orders and goods receipts itself?

Yes. Billacle covers the full procure-to-pay cycle — purchase requisitions, RFQs, POs and goods receipt (GRN) with 3-way match — alongside AP automation, not as a separate add-on.

How are fraudulent or duplicate invoices handled?

Content-hash duplicate detection plus blended rule + AI risk scoring flag duplicates, inflated and non-PO invoices before payment.
