How to choose AP automation software in India

A practical, vendor-neutral checklist. It works for any product, including ours: start from your own process instead of a vendor's demo.

1. Start with your current process

Before you look at any tool, write down how an invoice moves today:

  • Where do invoices arrive: email, WhatsApp, a portal, paper?
  • Who keys them into your ERP, and how many do they handle a month?
  • Who approves what, and where do invoices get stuck?
  • How do you check them against purchase orders and goods received?
  • How and when do you reconcile GST input tax credit (ITC)?

2. Check the ERP fit

Ask whether the tool works alongside your ERP or expects you to replace it. Replacing an ERP is a long project with real risk; layering automation on top of the system you already run is additive and reversible. Confirm your specific ERP is supported, and ask exactly what gets posted to it: approved invoices only, or drafts too, and what happens when a posting fails.

3. Look at India-specific support

  • Does it handle GST and HSN checks and vendor tax-ID validation?
  • Can it import GSTR-2A/2B and match them against booked invoices?
  • Does it track ITC per invoice (eligible, pending, blocked, claimed, reversed) and flag the 180-day reversal rule?
  • Does it understand Indian invoice formats without per-supplier templates?

4. Test extraction on your own invoices

Accuracy claims are only meaningful on your documents. Ask for a trial on a real sample, including messy scans and multi-page invoices, and look at:

  • how many fields are read and how many are right,
  • what happens to uncertain fields (a good tool sends them to a quick human check rather than guessing),
  • whether setup requires building templates for each supplier.

5. Matching and fraud controls

Look for 2-way and 3-way matching, with tolerance rules so a small rounding difference doesn’t block every invoice. See 2-way, 3-way and 4-way matching explained. Also ask about duplicate-invoice detection and how risky invoices are flagged before the payment run: duplicate invoices and AP fraud.

6. Approvals that match how you really work

Can you model your own approval hierarchy by amount, department or category? Can trusted invoices auto-approve? Is there an audit trail of who approved what and when? Does the same workflow cover purchase requisitions, claims and petty cash, or only invoices?

7. Procure-to-pay or AP only?

If your pain starts before the invoice (requisitions, quotes, purchase orders, goods receipt), a tool that covers the whole procure-to-pay cycle avoids stitching several products together. If your only problem is invoice entry, an AP-only tool may be enough. Decide which one you need before comparing prices.

8. Security and data handling

Ask how data is encrypted at rest and in transit, how tenants are isolated, what access controls and audit logs exist, whether multi-factor authentication is supported, and which standards the vendor is certified against versus merely aligned with. Treat “aligned with” and “certified” as different statements and ask for evidence of the second.

9. Pricing and limits

Ask what each plan includes: invoice volume per month, number of users, support level, onboarding and any extra charges for ERP integrations. Check what happens when you cross a limit.

10. Run a fair pilot

  1. Pick one entity and one month of real invoices.
  2. Agree the success measures upfront: time per invoice, share needing manual correction, duplicates caught, approval turnaround.
  3. Include your finance, procurement and IT people from the start.
  4. Compare the result with your current process, not with the demo.

Questions to ask every vendor

  • Do you replace my ERP or work alongside it?
  • Which fields do you extract, and how are uncertain ones handled?
  • How do you handle GSTR-2A/2B and ITC?
  • How long does go-live take, and what do you need from my team?
  • What exactly is included in each plan?
  • Which security claims are certified and which are alignments?
